Operations Control Manager - Trade Services

POSITION INFO:

Job purpose     

•            To implement Non-Financial Risk procedures, create awareness and maintain a high standard of Non-Financial Risk Management and control within the Business Unit.

•            To support the Managers Operations Control - Trade.

•            To ensure that the Business Unit meets the requirements of the Non-Financial Risk Standard for Wholesale Clients Operations and implement any actions arising there from.

•            To run and in need, manage any project which the Ops Control Management may allocate.

•            To ensure the delivery of a pre-emptive control framework for the TPSO Trade Services.

•            To deliver true "value-add" by improving the control health environment and establishing effective mechanisms to mitigate control failures.

•            To be instrumental in identifying control failures and closing the control gaps timeously.

Key responsibilities       

•            Produce daily reports on incidents and losses (ensuring information is accurate before distributing)

•            Maintain and Monitor Control First Tracker items relating to: All outstanding open actions for the following: Audit, RCA corrective actions, Known Issue (IBAM), and ensure that they are followed up until closure.

•            Undertake Risk & Control Monitoring.

•            Monitoring Losses in suspense account and Forex Settlement Suspense account

•            Undertake Incident & RCA training for the Trade Services teams

•            Undertake root cause analysis

•            Ensure that all incidents and losses are reported accurately which may mean communicating with Senior Management to get full information.

•            Maintain the appropriate loss database and ensure integrity of loss data.

•            Creating a quarterly loss summaries report.

•            Incident reporting to RMP with 48 hours.

•            Assist in keeping own RCSAs (A risk map of an area''s Inherent risk matrix outlining the controls in place for such inherent risks and the residual risk (inherent risk minus controls) up to date.

•            Ensure that the ISO 9001 certification is maintained.

•            Ensure that all policies and procedures are adhered to.

•            Meet quality objectives as outlined by the quality policy.

•            Be proactive and show initiative.

•            Assist with any other projects or duties given by senior management.

Control: Operate well controlled, proactive processes that comply with internal and external requirements

•            As "First Line of Defence" Ops Control are responsible for ensuring that there are effective controls being applied to Trade Services Operations

•            Create and prioritise the business goals & objectives and performance measures required to support the Ops Control strategy

•            Undertake deep dive exercises within the TPSO environment and produce reports with recommendations.

•            Maintain the data to support the Mission Critical Processes (MCP), and accurate reporting.

•              Sub-processes and underlying controls to reviewed regularly for effectiveness

•            Ensure that key controls and all important qualitative / quantitative assessments of the control profile are properly represented in the MI & Dashboard reporting prepared for Global Wholesale Clients Operations Control.

•            Pro-active monitoring of control breaches to identify systemic control issues / themes.

•            Pre-emptive monitoring of the process lifecycle to identify potential control weaknesses.
