POSITION INFO:

Our client is an award-winning Asset Management firm, with global scope and industry-leading investment management capabilities and they are looking to employ an Operations Administrator (EE) (6 month Contract).

 

Operational support:

  • Dealing with contractors and suppliers
  • Facilities management of respective service providers to ensure smooth running of the company''s property and facilities
  • Efficiently manage all important telephone calls - screen and initiate telephone calls on Director''s behalf
  • Implement the Director of Operations'' project plans for our organization, helping ensure maximum efficiency and profitability
  • Working primarily to coordinate project and operational requirements
  • Schedule, track, and provide support materials for meetings and project events
  • Liaise with other departments and vendors to obtain and update project information or materials
  • Communicate about each project''s status within the operations department, including to executives
  • Assist clientsand handle general inquiries
  • Manage projects and collaborate with the Directorsto assist in arrangements of special events

General Administration:

  • Answer switchboard
  • Manage and organize the Directors'' diaries and travel arrangements
  • Prepare correspondence as well as typing any necessary documents on Director''s behalf
  • Prepare reports, documents and presentations
  • Assist in updating the company''s Database
  • Manage and review filing and office systems
  • Computer literacy in Excel, Word, Outlook and PowerPoint essential
  • Assess Directors'' needs and requirements, formulate action plans to achieve them
  • Implement & manage Director''s electronic diary
  • Maintain daily tasks list - Arrange meetings, coordinate with suppliers and make appointments with individuals on a priority basis.
  • Ensure general filing is kept up-to-date

HR administration:

  • A component of this role would be the liaison with Recruitment Agencies in shortlisting of CV''s, and presentation of suitable candidates'' to the Directors respectfully
  • Ensure company''s available vacancies are listed on their website and kept up-to-date and current
  • Arrange and coordinate scheduling of interviews and assessments for shortlisted with candidates, with specified service providers
  • Be the point-of-contact with Recruitment Agencies

Requirements:

  • 3-5 years'' experience in a financial institution/ finance division is preferable
  • BCom or NDip highly advantageous.
  • Drivers Licenseand own transport to run office errands
  • Proven ability to meet deadlines under pressure
  • Work proactively and effectively as part of a team
  • Superb communication skills, both written and verbal
  • Intermediate to advanced Excel literacy is advantageous
