SUMMARY:
Jacobs. Meticulous and efficient Office Administrator opportunity exists with manufacturers and distributors within the adhesives / building sector. 2 – 5 years administration experience and knowledge of SAP and Accounting principles essential.

POSITION INFO:

Responsibilities:

  • Coordinating and setting up of all meetings and typing of agendas for meetings
  • Minute taking of meetings and typing of minutes
  • Preparing presentations
  • Marketing design and coordination
  • Monitor and maintain office supplies
  • Answering switchboard, handling of queries, and distributing messages
  • Providing HR support such as leave recording to HR Manager at Head Office
  • Maintain databases, records, confidential files, and other related information for department needs
  • Generate sales quotations on SAP Business One and follow up on quotations
  • Capture sales orders, generate picking slips, and process invoices on SAP Business One
  • Liaising and supporting Sales Representatives regarding customers and orders
  • Order processing and card payments
  • Liaise with management on customers special discounts and customer trading terms

 

Requirements:

  • Matric
  • Relevant training or qualification
  • At least 2 – 5 years administration experience
  • Computer literate (MS Office)
  • Knowledge of SAP and Accounting principles
  • Knowledge and experience of relevant software applications - spreadsheets, word processing, and database management
  • Proven experience of producing correspondence and documents
  • Proven experience in information and communication management
