POSITION INFO:
OPERATIONS CO-ORDINATOR/EAST LONDON. Position will mostly be office based; however, travel may be required occasionally. The successful Candidate will provide daily support and guidance to the operations team in terms of Operational reports, administrative procedures, processes and policies. The ideal Candidate will be well-versed in departmental procedures processes and policies and will be able to actively discover new ways to do the job more efficiently.
Minimum Requirements:
Matric/Grade 12
BCom Degree / Accounting qualification would be an advantage
Min. 3 years’ experience in a similar role
Highly Proficient in Microsoft Excel (especially in formulas’)
Valid Driver’s License with clean driving record
Willingness to Travel

Key Performance Areas:
Administration:
Develop, implement & Control standard operating procedures within store operations
Continuously manage and optimize the operational checklists & controls
The day-to-day management of Microsoft Office SharePoint
Establish and maintain administrative systems and processes
Preparation of the store dashboard spreadsheet
Preparing orders and invoices for payment
Preparing communications for the Operations Manager
Operational reports:
HRPM (SAW (Salary and Wage) costs, staff scheduling, exception management) reporting
Preparation of the company’s negative stock on hand (NSOH) reports
Preparation of the monthly sales targets for the operations team
Preparation of reports on the internal & external stock takes results (shrinkage reports)
Preparation of the controllable expenses reports for the operations team
Preparation of store sales incentives bonus calculations and the timeously submission thereof to payroll
Assist in the preparations and review of the Area managers store visit planner
Assist in the preparation and review of the Store audits plan.
Stock Management:
Evaluate & monitor the controls of the stock management within the business, IBT’S, sending and receiving stock, overseeing the resolution of issues between stores and the distribution centre and investigate any overs and shortages of stock in stores.
Day to day management of the Outstanding Orders (ODR)
Management of the interbranch transfer (IBT’s) discrepancies and the escalation thereof
Monitor & evaluate that stock is allocated correctly to stores based on store grading/turnover, cover and any special needs that the store might have.
Ensure that stores control their inventory and that the process of receiving and capturing of stock at store level is done efficiently & correctly.
Process stock adjustments as and when required by the Distribution centre and the Buying team
Assist Area Managers as and when required to finalize stock counts on the stock management system (Dolfin live)
Salary: Negotiable depending on experience + benefits
