Requirements:

  • Matric
  • Tertiary qualification would be an advantage
  • Minimum 2 year in similar environment (Maintenance or construction)
  • Microsoft office - Excel
  • Own reliable transport

Personal Characteristics:

  • Good Communication in both written and verbal skills, being comfortable in corresponding both verbally and in written word with Developers, Attorneys, IGrow Investors and Tenants
  • Planning Skills – To accomplish all work tasks, come up with suitable strategies & plans of action for the position
  • Resilience – ability to react to unexpected changes or problems, candidate needs to react positively and able to offer solutions to deal with any problems.
  • Self-Management – the ability to plan and co-ordinate when left to work alone or without supervision. Being able to prioritize your duties, being able to work under pressure and have good time management skills.
  • Team Work – Being able to contribute to other team members, be willing to offer assistance with other departments as the need arises even if the task does not fall within your job description. Be flexible to work in different departments if assistance is requested (New Developments & PA assistance to National Rentals Manager)

Duties and responsibilities, but is not limited to:

  • Be responsible on a full-time basis for retention repairs on developments in Gauteng.
  • Be responsible for recording and supplying all information for retention including supplying IGrow Rentals with dates of retention on all new developments.
  • Be responsible for updating spreadsheets on a weekly basis for all new developments: capturing new sales, capturing cancelled sales, capturing proxies & mandates (including capturing stats on Google Docs)
  • Be responsible for generating pre-handover reports as inspections take place on site, emailing these reports and saving reports in relevant development folders.
  • Be responsible for loading new developments on Pay Prop and scheduling snagging inspections on red rabbit.
  • Attending all new launches – saving required documents for the development onto Rentals Drive, including rental information pertinent to the development.
  • Assisting telephonically and via emails the rentals department & sales department with information required on the new developments.
  • Assisting with keeping the New Developments calendar up to date.
  • Be responsible for assisting Owner Occupied clients with information and processes required for occupation.
  • Assisting senior when they are on site: telephone calls, emergency emails etc.
  • Assisting with Occupational Interest processes if required.
  • The Administrative assistant must ensure they have an in-depth knowledge of each new developments processes from building commencement, snagging & handover, occupation to expiry of retention period.
  • Be responsible for assisting IGrow Rentals with any issues raised on a development after expiry of retention period.
  • Must be prepared to assist with Key Collections or delivery to the rental department if required.
  • Must be prepared to go on site to assist with final walk through of units if required.
