Logistics / Warehouse Manager

SUMMARY:
Our client, a manufacturer, supplier and installer of specialist equipment is looking for an experienced Logistics / Warehouse Manager to join their team.

POSITION INFO:

Job Description:

The main purpose of this role is to conduct efficient handling of day-to-day requirements of the Logistics, Warehouse and Stock (Inwards and Dispatch).  The successful candidate must be hands on and willing to work long hours when needed.  Experience in managing staff is essential.

Main Duties & Responsibilities:

• Logistics
• Cover all logistics (Import and Export) for the company and local deliveries
• Draw up all documentation regarding Imports and Exports
• Handle all marine insurance claims regarding freighting
• Co-ordinate Import and Export customers and customer agents
• Ensure all official documents timeously and have them forwarded to the correct person for clearing purposes
• Monitor ship and delivery date and keep all relevant parties updated (liaising with Procurement)
• Keep logistics reports up to date and communicate on a weekly basis with the correct people
• Provide analysis reports on all Logistics transactions in the prescribed format
• Communicate directly with Suppliers and Customers on freighting information, shipping movements, deliveries and verify with clients’ receipt of materials
• Working closely with packaging staff to ensure the protection of freight in transport
• Oversee the packaging of exports and local deliveries
• Documenting and communicating any changes to the operating procedures accurately and timeously
• Ensure cargo is packed in accordance with international standards
• Arrange and oversee inspection for quality verification (SGS) pre-shipment
• Ensure no damage when loading of all outgoing consignments
• Document photographic proof when crating for freighting accordance with procedure
• Establish volumetric sizing of all equipment
• Keep a register of volumes and rates
• Establish a broad knowledge base of all products and services
• Receive freight request forms from the Import and Export and obtain a minimum of 3 quotes within 48 hours
• Be able to make recommendations as to which quote accept in the prescribed format
• Prepare requisition for order
• Manage Stock Controller and Warehouse Staff
• Manage Driver (all deliveries and collections)

• Warehouse
• Execute the receiving and dispatching of stock to and from customers and suppliers
• Comply with local warehousing, material handling and shipping requirements
• Safeguard warehouse operations and contents, reconciling with data storage system
• Ensure effective planning and execution of quarterly stock counts
• Assist the Cost Accountant in reconciling stock count to the theoretical stock
• Maintain physical condition of the warehouse
• Achieving financial objectives – preparing an annual budget, scheduling expenditure, analysing variances and initiating corrective actions
• Maintain warehouse staff by recruiting, selecting, orienting and training employees
• Timeously follow up all requisitions for dispatch of stock
• Return stock to suppliers for repairs and incorrect deliveries
• Ensure filter stock is well labelled and easily identifiable
• Ensure that stock is always kept off the ground to ensure no water damage
• Prepare parcels correctly and in time for collection by Courier
• Maintain effective stock control at all times
• Administer all paperwork and delivery notes
• Prepare all GRN’s when stock is received
• Ensure that no delivery of damaged goods is accepted
• Circulate all goods received on a daily basis
• Monthly and quarterly stock take
• Assist the Projects team in preparation and loading
• Obtain BOM from Projects team and keep them updated on a daily basis as to what has been received
• Pull out equipment and materials for technicians from store as per requisition
• Maintain registers for small tools and equipment

Educational Requirements:

• Grade 12
• Relevant Diploma / Degree

Experience and Skills Required:

• Minimum 5 – 10 years Logistics / Warehouse experience
• Computer literate
• Extensive report-writing skills and must demonstrate ability to understand basic accountancy
• Ability to handle technical details relating to international transportation (regulations / INCO terms) and any necessary documentation
• Ability to effectively evaluate the costs of transportation, services and inventory within a budget or distribution strategy
• Must have basic knowledge of national and international import / export legislation and must be able to effectively troubleshoot any issues that arise in international freight transportation
• Excellent communication and interpersonal skills
• Ability to manage staff members
• Strong multi-tasker who has the ability to work under pressure and meet deadlines timeously
• Must be willing to work long hours when needed
• Valid driver’s license and passport
