SUMMARY:
Junior Leasing Officer/ Administrator

POSITION INFO:

To ensure the effective leasing and client management function in the Client Services Department through undertaking day to day administrative duties and providing appropriate support to leasing officers and the National Client Services Manager.

The successful incumbent will be reporting to the COO. Client Services Manager.

Lease Management and Administrtion: 

  • Ensure 100% compliance and implementation of Intake Policies and Procedures by consistently following correct leasing and tenant selection procedures and maintain SHRA Standards.
  • Make available all documenttion and forms related to application process such as updated application forms, lease documents, Social Housing facts questinnaire, house rules and project fact sheet.
  • Screen submitted supporting documents for potentil applicants and mke sure that application forms are properly filled and signed by applicants.
  • Forward screed applications to the CSM for approval.
  • Recognise and flag grey files and submit to senior management.
  • Make sure approved Leases are signed by both new tenants and CSM.
  • Facilitate payment of the first deposit.
  • Register new tenants on MDA.
  • Crete  witing list nd updte it regulrly.
  • Manage vacancies by creating  vacancy list. Use advertising mechanisms to promote and fill units asap.
  • Submit vacancy and exit report to CSM.
  • Submit application stats report to CSM.
  • Finalise exit documenttion and submit to finance for payment within 14 days of exit. Submit cheque requisitioned to CSM for approval.
  • Follow up on tenants that have vacated without paying their arrears.

 General Office Administration:

  • Ensure that all documenttion is kept in a safe and secure environment.
  • Ensure that filing is done and up to date.
  • Make sure all tenant files are scanned into the server/ cloud.

MDA and Rent Roll Administration:

  • Loading of new tenant files.
  • Exiting of terminated leases.
  • Extract Reports i.e. Vacancy schedules and Tenant Audits.
  • Ensure sttement queries by tennts.
  • Export Tenant/ Debtor Ageing Reports on MDA.
  • Printing of Tenant Transaction Reports as and when needed.
  • Upload batches for additional charges.
  • Check with HM''''''''''''''''s to ensure pre-billing check/ rent roll is signed off.

Role Requirements:

Qualification and Experience

  • A minimun of a Grade 12 qualification is necessary.
  • Minimum 2 - year Office Administration is a requirement.
  • Plus, minus 3 years experience in Leasing job.
  • Proficiency in MDA/ MRI.
