SUMMARY:
Under general supervision, performs a wide variety of planning activities required to maintain inventory levels, including forecasting of products for all Africa operations.

JOB DESCRIPTION:

MAIN TASKS

The role is directly accountable for the following outputs, which constitute the Main Tasks of the position:

 

PROCUREMENT RESPONSIBILITIES

  • Establish, monitor and maintain forecasting and inventory control policies.
  • Prepare forecasts and calculate inventory planning for assigned Distributor Centre''s on a monthly basis.
  • Maintaining a monthly statistical forecast report and maintain inventory forecasting for all products, ensuring deliveries meet established deadlines.
  • Continuously improving forecasting techniques, methods, and forecasting approach based on sales history and projections.
  • Conduct current and future forecasting analysis, ensuring forecasting processes and   methods are followed.
  • Manage inventory targets weekly (including cover stock levels) that are approved by management and to maintain appropriate inventories for all Africa Operations.
  • Ensure that every Distributor Centre is stocked with an adequate supply of the correct stock items, including literature and packaging materials, to avoid over or under supply of Distributor Centers.
  • Prepare, report, and communicate forecast and inventory measurements to company Directors and Managers on a weekly basis.
  • Compile Write-Off Reports on a monthly basis for Africa - Allocated Distributor Centers.
  • Compile and manage Back Order Reports on a weekly basis for Africa.
  • Ensure that every Distributor Centre carries an amount of stock, which shall be between as per the set parameters.
  • Hand over all planned shipments to the warehouse for prompt picking and timeously dispatch to Distributor Centers.
  • After receiving three quotes, determine the mode of transport for each delivery: taking into consideration product weight, urgency and transport cost.
  • Control the frequency and number of deliveries by trying to plan one bulk shipment per month per Distributor Centre. Further shipments should be kept to the bare minimum.
  • Endeavour, where possible, to avoid the occurrence of back orders in any Distributor Centre by planning properly and following up on reports received. Such back orders are detrimental to our business and shall be avoided at all costs. Responsible for acting and managing back orders and keeping them at an acceptable level.
  • Frequent communication with Distributor Centers regarding projections, sales, negotiating cover inventory needed and receiving product on a timely basis.
  • Ensure that communication with the DC Managers is in place regarding short shelf-life products. Reveal your future plans on shipping more product to them going forward.
  • Ensure you have an open communication channel with the DC Managers. 
  • Manage excess and obsolete inventories as well as stock rebalancing with warehouse managers.
    • Communicating with management regarding inventory/delivery issues and priorities.
    • Data management - maintenance of reports in excel where necessary and appropriate.
    • Train new employees in how the forecast system is working.
      • Keep all SOP''s up to date. Evolving and maintaining documentation and standard operating procedures for demand planning processes and systems.
      • Excellent understanding of the MRP and MRPII systems.
        • Generate daily critical inventory reports & analyze actual sales vs. projected sales.
        • Maintaining and checking Distributor Centers'' inventory levels on a weekly basis & communicate with Distributor Centre Managers on a weekly basis. Shared responsibility.
        • Communicate with Warehouse Manager to ensure that products are delivered on time.
        • Comply with the rules and regulations pertaining to exporting too various

           countries i.e., inspections, registered products, customs, drug 

           authorities and banned products.

  • Ensure that packed and local produced stock that is unavailable for replenishment is communicated to the Procurement''s Department and dispatched as soon as possible after coming into stock. Use the weekly stock status report.
  • To act on all reasonable instructions given to you by Management.
  • To perform ad hoc duties from time to time.

 

REQUIREMENTS AND QUALIFICATIONS

  • Grade 12.
  • Relevant Tertiary qualification will be an advantage but not a must.
    • 1-2 years relevant experience will be an advantage.
      • Ability to complete assignments as accurate as possible.
      • Must be detail orientated, methodical and practical - Essential.
        • Must possess strong commitment to corporate goals.
        • Working knowledge of SAGE 3 will be an advantage.
        • Must be able and willing to work additional hours.
        • Own transport a must.
        • Computer literate.
          • Advanced Excel skill is an advantage.
