SUMMARY:
Our Client, an established supplier of laundry and catering equipment is looking for a Junior Administrator / Service Controller to join their team.

JOB DESCRIPTION:

Job Description:

This position calls for a vibrant, passionate and dedicated junior administrator to assist with general administration, assisting all personal involved in service and sales.  This position will report directly to the Sales Administrator and Branch Manager.

Main Duties & Responsibilities:

  • Accurately logging of service calls and ensure they are assigned to the correct service technician
  • Project manage and schedule technicians for equipment installations together with the sales team based on completed service requirements, payment/orders, stock availability and customer communication.
  • Become competent at quoting customers, checking spares availability and pricing to complete customer orders
  • Invoice service technician’s job cards on SAP on completion
  • Closing off job cards with resolutions once the job is completed
  • Source, investigate and provide service history on equipment for customer queries.
  • Be willing and able to assist with controlling technician’s spares stock (issues, returns, variances & stock counts)
  • Identify and process warranty and guarantee claim service calls and invoices
  • Answer customer and field-based queries, including account queries by telephone and email
  • Provide holiday and sickness cover for other staff
  • General administrative tasks as required
  • Compiling a job card register of completed jobs for reconciliation purposes
  • Tracking spares orders relating to jobs with the spares department
  • Filing of documents relating to the service department
  • Assist with annual stock take
  • Switchboard relief when needed
  • Assist technicians with purchase of local spares
  • Assist technicians with internal ordering of spares and internal transfers
  • Assist with scheduling of technicians
  • Assist with invoicing when necessary

Educational Requirements:

  • Grade 12

Experience and Skills Required:

  • Demonstrated ability to handle difficult customers (consultative approach)
  • Results-orientated and able to work both independently as well as within a team environment
  • Excellent communication skills (verbal and written)
  • Proficiency in MS
  • SAP experience advantageous
  • Call centre experience advantageous
