Internal Sales Administrator

SUMMARY:
Sales Admin Assistant required to assist in the sales administration function. Based in Somerset West.

POSITION INFO:

Quoting

• Compile standard quotes, within agreed timelines.
• Ensure the quotes are accurate.
• Send quotes to clients.
• Follow up on quotes which have not been accepted and escalating to sales team where necessary.

Out of warranty billable calls

• Send weekly out-of-warranty onsite faults ready to invoice to Cost and inventory accountant for invoicing approval.
• Issue invoices to clients using info from the out-of-warranty sheet, ensuring that the invoice are sent to the correct client department.
• Match signed-off job cards with jobs invoiced and send to clients.
• Follow-up on outstanding invoices for payment.
• Send bi-weekly reconciliation to Head of External Ops/Cost and Inventory Accountant.

Invoice completed jobs

• Invoice jobs according to approved CE and client deposits paid.
• Ensure invoices are issued in the correct period.
• Ensure invoices are processed with the correct accounting requirements.
• Process credit notes when requested and return stock to the relevant inventory.
• Provide monthly reporting on credit notes processed.
• Synchronize inventory system with accounting system to upload invoices to be issued to clients.
• Edit invoices in XERO (or the system in use at ODM) and allocate sales to correct income statement account, client tracking and cost centre.

Ad hoc duties

• Acquire a detailed understanding of the processes that are being billed in order to be as helpful as possible when dealing with clients.
• Acquire a firm understanding of the solutions and products which are offered to identify weaknesses in quotes.
• Fulfil any other duties assigned the Financial Manager.
