SUMMARY:
My client in tax consulting services is seeking an Immigration Administrator who is fluent in Mandarin and English for their China Desk.

POSITION INFO:

Fluent in Mandarin and English

Duties including but not limited to:

  • Provide general administrative support to Immigration Specialist on daily duties with our client base of professional and corporate clients
  • Facilitation of third-party processes
  • Liaise with the different Government authorities (local and abroad)
  • Capturing and tracking of visa cases end-to-end
  • Ad-hoc administrative support
  • Document vetting, drafting and preparation
  • Accompany clients for the submission of their visa applications at the applicable visa offices

Minimum Requirements:

  • Formal qualification is advantageous
  • Experience in Immigration Services Industry is advantageous
  • Advanced computer literacy non-negotiable
  • Advanced MS Office knowledge (Excel, Word, Outlook etc.) non-negotiable
  • Good writing skills
  • Driver’s license and vehicle non-negotiable

"South African Qualifications Authority (SAQA) Applications:

  • Facilitate and process online application
  • Review and ensure the correct documents are submitted
  • Arrange submission and collection of physical SAQA application / certificate with office
  • Act as liaison with the applicant’s University and obtain the necessary verification
  • Notify and update consultant on status of application, as required

Professional Body Membership Registration Applications (end-to-end):

  • Complete online/physical registration application for client
  • Facilitate payments and/or refunds, as required
  • Act as liaison with professional bodies and build meaningful relationships
  • Notify and update consultant on progress/status of client’s application

Visa Facilitation Centre (VFS) Applications + Bookings:

  • Complete online VFS application forms on behalf of client
  • Facilitate payments and/or refunds, as required
  • Arrange bookings/appointments for client and notify consultant accordingly

Immigration Applications (Visa / Permanent Residency / Citizenship):

  • Draft supporting letters, and detailing the context of the client’s case
  • Notify consultant on outstanding items and flagging items that are considered a concern in terms of the client’s application
  • Vetting of documentation pertaining to client’s application
  • Compile applications in proper format (electronic and/or physical)
  • Update the client’s folder in respect of documents that have been received and ensure it is saved in correct format

Billings / Disbursements / Payments:

  • Capture invoices on immigration fee schedule for assigned consultant
  • Update client’s folder with invoice and proof of payment, as received
  • Facilitate disbursement payments where required and forwarding the proof of payment to the responsible person within team for disbursement tracking

Facilitation of other services:

  • ID book applications
  • Official South African documents with third party outsource service provider (South African Police Clearance Certificate, Unabridged Birth Certificate, Marriage Certificate etc.)
  • Translation of foreign documents

Submission and Collections:

  • Accompany clients for the submission of their applications at VFS and/or the Department of Home Affairs and/or Visa Application Centers for Outbound Countries (ID / Regularization / Citizenship) and to collect outcome of application, where required

General Admin:

  • Contacting foreign embassies to ascertain any additional visa requirements
  • Familiarising oneself with the Immigration Act
  • Familiarising oneself with immigration processes of outbound countries
  • Identifying feasible business opportunities
  • Attending conferences and manning exhibition stands where required - networking
  • Keeping up to date with any changes to the Immigration Act
  • Keeping up to date with any changes in immigration processes of outbound countries
  • Attend meetings as and when required
  • Maintain professional relationships at all times
