Hospital Executive Personal Assistant

POSITION INFO:

ROLE SUMMARY

This role requires the incumbent to provide a high level of administrative and secretarial support to all members of the Senior Management Team. The successful incumbent will be reporting to the Finance Manager, Matron of the hospital and Hospital Manager 

REQUIREMENTS

  • Matric
  • Secretarial or Office administration qualification
  • Advanced Microsoft and typing and presentation skills
  • Must have a drivers license and own vehicle
  • Excellent verbal and written communication skills
  • Good time management
  • Detailed  oriented
  • Organising and planning skills
  • Ability to complete tasks without needing to be asked
  • To be highly confidential as this office deals with sensitive and confidential information
  • Have a good personality
  • Be able to work after hours to attend Hospital and Stakeholder functions and meetings
  • Must have 2 to 3 years Executive Personal Assistant  

KEY OUTPUTS

  • Provide a high level of personal, administrative and secretarial support to the Senior Management team
  • Manage the electronic diaries of the Senior management team
  • Co-ordinate Hospital and Stakeholder meetings-distribute agenda timeously, make reservations for venues, organise refreshments and ensure the venue is left tidy after each meeting
  • Manage information and ensure an appropriate filing system for ease of reference and safe keeping of records
  • Screen incoming calls, take messages and handle any queries that may arise
  • Effective and accurate minutes taking and timeous distribution thereof
  • Perform basic follow ups on minutes action items
  • Update internal telephone lists and the Hospital Organogram
  • Order and distribute stationary in the Hospital
  • Co-ordinate uniform fittings, exchanges and distribution thereof
  • Provide general assistance to staff members, patients, visitors and other stakeholders
  • Prepare and consolidate monthly reports and statistics
  • Manage Road Accident Fund requests from attorneys
  • Leave reconciliations for all members of the Senior Management Team
  • Sort and distribute incoming and outgoing mails
  • Arrange courier services for distribution of mail or goods
  • Perform any other secretarial & Personal Assistant duties as may be required
