SUMMARY:
HR & PAYROLL OFFICER
RICHARDS BAY KZN
Solid experience in putting together the necessary payroll information and input for a 24-hour continuous shift system in a manufacturing business.
Experience in basic labour relations and all HR related legislation. Sage 300 People experience.

JOB DESCRIPTION:

Payroll
Process monthly payroll data into the required format and hand over to the Senior Payroll Officer. This will include the following information based on a 24-hour continuous shift system:
  • Hours worked, leave days, “higher grades”, various types of overtime, change of bank details
  • Oversee the operation and processing of the data on the “Jarrison Time” time and attendance system
  • Compile monthly leave import data for payroll processing
  • Capturing of certain leave information into SAGE 300
  • Co-ordinate the impersonators of leave on ESS
  • Print payslips locally for distribution to employees.
Administration Functions
Facilitate the following processes with regards to:
 the employee retirement funds:
disabilities, withdrawals, death claims, retirements
  • Facilitate the following with regards to the company medical schemes: onboarding and offboarding, adding and removing of members and the plan option choices of employees
  • Handle all the necessary filing of records either in hard copy or in electronic format on various online data storage systems.
  • This includes employee personal files and other HR and Payroll filing systems
  •  Facilitate the wellness days for the company.
  • Act as employee representative on the PPAWU Provident Fund.
HR Functions
Assist employees with queries which could not be resolved by their managers/supervisors (such as payslip queries)
  • Facilitate and advise managers/supervisors with regards to the implementation of the disciplinary code and procedures
  • Take minutes during various meetings where the HR Department is involved
  • Handle the onboarding of new employees and facilitate the necessary orientation programmes for the various groups of employees
  • Facilitate the offboarding of employees due to retirement, dismissals, and employees who passed on.
  • Where necessary schedule exit interviews and exit medicals
  • Advise on and facilitate the completion of the necessary forms for the reporting of injuries on duty.
  • Follow up on the progress of each IOD and the subsequent forms that needs to be completed
  • Receive and process trade union membership forms
  • Co-ordinate training for development needs, scheduling of training, invoices, attendance registers and the capturing of these into SAGE 300
  • Co-ordinate and attend management / trade union meetings
  • Facilitate the recruitment process for specific groups of employees. Payroll
Qualifications
A suitable HR and/or Payroll related tertiary qualification.
Prior training required SAGE 300 People, providing data input for payroll processing.
Skills Time management skills, internal customer service skills, administration skills, compliance knowledge, confidentiality, strong maths and numeracy skills.
Job specific technical skills - SAGE 300 People competency in Payroll and HR Modules.
Microsoft 365 proficiency. MS Excel Advanced user.
