SUMMARY:
Our client, a well-established company within the manufacturing sector, is looking for an HR / Payroll Administrator to join their team in Johannesburg.

POSITION INFO:

Job Description:

The two main purposes of this position will be HR administration as well as payroll administration.

 

Main Duties & Responsibilities:

HR Administration

  • Forming and maintaining employee records
  • Updating databases internally (sick leave, maternity leave etc)
  • Preparing and amending where necessary HR documents i.e., contracts, warnings, notices, salary schedules and recruitment
  • Reviewing company policies and legal compliance
  • Communicating with external partners
  • Reporting regularly on HR metrics, such as company turnover
  • Being the first point of contact for employees on any HR related queries
  • Helping with various arrangements internally, from travel to processing expenses

 

Payroll Administration

 

  • Responsible for the preparation and processing of the monthly payroll for approximately 220 employees (includes the entire cycle of payroll processing from capturing of new employees, leave, terminations).  Ensure that the correct administration, reconciliations and balancing of the payroll is done timeously.
  • Maintain a proper document control system
  • EMP201 and EMP501 submissions, together with the assistance of the HR Manager
  • Income Tax and Provisional Tax submissions, together with the assistance of the HR Manager
  • Generating Reports for payments e.g., PAYE returns and all third party payments
  • Prepare month-end journals and reporting
  • Monthly payroll reconciliations
  • Administration of the Employee Benefits such as Medical Aid, Provident Fund and Group Life
  • Payroll queries
  • Employee records and document control
  • Time and attendance – ensure daily, weekly and monthly time and attendance is monitored regularly
  • Follow up with management on any deviations and/or discrepancies regarding time and attendance
  • Assist with mock payslips and salary estimation sheets
  • Assist with HR related administration work
  • Ad Hoc projects – Assist with the payroll module on the new HRIS
  • POPI Act compliance

 

Educational requirements:

  • Grade 12
  • Degree/Diploma, in either HR, Management or a Business related field

 Experience and skills required:

  • Experience as a HR Administrator or HR Administrator’s assistant
  • Organised and able to prioritise
  • Excellent communication and relationship building skills
  • Understanding of various HR software systems (ESS, HRIS etc)
  • Computer literate (MS Office)
  • Good understanding of labour laws
