Qualifications and Experience:

  • Matric Certificate
  • Relevant HR Qualification (certificate/diploma)
  • At least three years’ previous experience in the role of a Human rResource Officer
  • SAGE experience

Key Performance:

  1. Support
    • Provide HR administrative support to employees and Managers
    • Attend to daily HR queries and follow up on emails
    • Weekly factory work-about
  1. Administration
    • Maintain HR administration and records
    • Ensure filing is up to date and that personnel files are in good order
    • Upload ID copies and other personnel documentation onto Sage
    • Upload work and other permits and set reminders of expiry dates
    • Remind employees of expiry dates and follow up on updated documentation
    • Attend to the retrieval, scanning, and submission of employee documentation as required from time to time
    • Provide Marketing Department with employee birthdates for monthly circulation
    • Ensure factory noticeboard is kept up to date
  1. Recruitment
    • Arrange interviews directly with the applicant or via a recruitment agent
    • Liaise with candidate/agency in relation to interview requirements, including parking and other details
    • Arrange and conduct entry-level/factory staff interviews
    • Conduct MIE background and criminal checks
    • Generate and send regret correspondence
    • Update Recruitment Tracker
  1. Onboarding (New Employees)
    • Liaise with new employments in relation to first day requirements prior to commencement
    • Attend to the onboarding process and arrange inductions in advance to allow sufficient time for the administration to be completed by commencement date, including Health & Safety induction
    • Prepare new employee personnel files prior to the commencement date
    • Prepare contracts of employment for new employees
    • Prepare take-on documentation pack relevant to the position (e.g: MIBFA Provident Fund vs Discovery Life Fund)
    • Welcome new employees on the commencement date
    • Upload new employee fingerprints on the biometric system for access
    • Ensure all HR paperwork is received, and accurately and thoroughly completed and signed
  1. Offboarding (Terminations)
    • Administer exiting employees’ offboarding process
    • Arrange exit interviews
    • Assist payroll with the processing of terminations
  1. Employment-related Correspondence
    • General correspondence and contracts, e.g.:
      • Increase letters
      • Transfers
      • Promotions
      • Maternity leave
    • Confirmation of employment:
      • General requests
      • MIBFA Provident Fund
  1. Timekeeping and Attendance
    • Loading new employees onto ERS system
    • Upload fingerprints to ERS system for access control and timekeeping records
    • Allocate access cards to employees whose fingerprints do not register on the biometric system
  2. Leave Administration
    • Ensure leave forms are received from employees/managers for weekly and monthly payroll processing
    • Once trained on the Leave section of SAGE, capture, and process all leave applications
    • Conduct leave audits when necessary
  1. Skills Development
    • Arrange and assist with training requirements of external training providers
    • Assist with the setup of the training room for training initiatives
    • Identify schools, FET, and other training colleges in East Rand for job shadowing and learnership opportunities
  1. Disciplinary Action and Hearings
    • Prepare disciplinary action documentation for relevant team leaders or managers
    • Assist with the preparation of documents and bundles of evidence for disciplinary hearings and arbitrations
