SUMMARY:
An HR Administrator is required to join a retail group with a head office based in Ballito to ensure the efficient and effective HR administration controls and services are in place for store management to be able to focus on trading.

POSITION INFO:

Responsibilities:

1) Employee Data Administration:

  • Creating and maintain employee records for stores with a check list of what is contained in filing and for effective staff management.
  • Make sure employee contracts are provided for new hires and are up to date in records
  • Ensure all foreign nationals have work permits

2) Payroll Support:

  • Assisting with payroll by providing the department with relevant employee information, e.g. leave taken, new starts, terminations and salary enquiries.
  • Create and maintain all HR documentation required for stores to have an effective Human Resources Practises:
  • Based on effective employee management through job profiles and performance contracts Based on Department of Labour audits
  • Ensure HR Policy and procedure file is available and up to date

3) Recruitment Process:

  • create and train managers on how to handle the recruitment process, use interview guides and make good employment decisions
  • Onboarding / Offboarding:
  • Update and manager the updating of employee information through a checklist for stores new employees and termination checklist for exiting employees.

4) BEE:

  • Ensure the BEE requirements are compliant as per process and documented checklist.
  • Employment Equity:
  • Create and manage the Employment Equity (EE) process per store through data collection, EE reporting submission, EE committee management, keep monthly documentation up to date.

5) Skills Development:

  • Assisting with Skills Development through WSP, ATR and other training initiatives. Arrange and support supplier training. Ensure annual mandatory training is completed. Manage committee meetings and skills training records

6) Health and safety:

  • Manage and record all IOD’s online, manage IODs service providers & paperwork, manage work mans compensation, ensure staff are doing daily, weekly, monthly checks, hold monthly meetings and repair where required. Keep all necessary and relevant records up to date.

7) .Labour Relations:

  • Provide a process and support on how to handle poor work performance and give labour advice based on what is in the policy.

8) HR System & Support:

  • Create a store HR folder with all required HR documents needed
  • Be the first point of contact for HR-related queries from the managers regarding the HR filing system or other employee challenges.
  • Create a HR calendar planned into the retail calendar to stores know what information to prepare for what discipline.
  • Audit HR files and folders each month.

 

Requirements: 

  • Matric
  • Relevant degree/diploma
  • 3 years’ experience as an HR Administraton
  • Attention to detail is highly important for this role.
  • Ability to multi-task and work with inputs from various sources.
  • Excellent interpersonal and communication skills.
  • Sound computer skills (MS Office Excel).
  • Experience with Payroll system
