SUMMARY:
Our client, a Global trading, logistics and distribution company, currently seeks a HR Administrator/2IC to the HR Manager. You will be tasked with the establishment, management and monitoring of human resources standards, processes, systems and training within the organisation.

POSITION INFO:

Minimum Job Requirements:

  • Matric.
  • Degree/Diploma in HR an advantage.
  • Knowledge of techniques of interviewing, selecting and recruiting applications for employment.
  • Administration experience with exposure with dealing with queries, problem solving and adhoc projects.
  • Working knowledge of Employment Legislation and best practice to implement in the business.
  • Advanced knowledge of MS Office (Excel, Word, Powerpoint, etc.).

Key Performance Areas:

Administration:

  • Provide support for a wide variety of activities of HR including employee relations, recruiting, and administration of benefits.
  • Administration including updating, filing spread sheets, reference checking, invoicing, and issuing of letters and contracts.
  • Maintain the personal records of employees on matters such as medical aid, pension, leave and training, and prepare associated management reports.
  • Provide information to employees on HR policies and procedures, including Employment Equity, anti-discrimination and skills development.
  • Ensure the maintenance of employment operations including recruitment, job descriptions, remuneration, selection processes, induction processes and exit interviews.
  • Support on day-to-day basis and contributing to the long-run development of HR function in specific, during an initial phase of recruitment growth and development.
  • Enter data into the database or HR system for maintaining accurate records.
  • Maintain and develop the filing system for staff files.
  • Assist the HR Manager with the maintenance and development of HR procedures and policies.
  • Provide back-up assistance to Reception to cover breaks and leave periods.
  • Collect and keep track record of receipts for the HR Managers company credit cards.
  • Raise purchase orders and receipt and stay within monthly financial timelines.
  • Assist with monthly and facilitate year end BEE audits.
  • Draft HR Policies and SOP’s.
  • Make organisational announcements on behalf of the Corporate Services Manager and inform all staff of any upcoming events.
  • Ensure all job files that require archiving are correctly recorded on the appropriate system, contact the archiving company on a periodic basis to ensure files are correctly sent to store. On request to recover files from archive overnight and arrange despatch to the requesting person.
  • Keep record of all Warehouse Labour workers Timesheets – saved per week.
  • Receive, analyse and create PO''s for contracted labour staff on a weekly basis – Tettey Risk.
  • Save Excel sheets according to the week processed.
  • Any other duties relevant to the position as delegated by the HR Manager.

Recruitment & Onboarding:

  • Post and advertise open positions and assist in recruitment process.
  • Assist with staff inductions and prepare materials.
  • Ensure job descriptions are accurate and updated at least annually.
  • Develop and maintain good relationship with employment agencies and other recruitment resources.
  • Write ads and post open positions, draft offer letters for new hires.
  • Participate in interviews as required and assist Managers in identifying and creating job related interview questions.
  • Ensure the execution of all pre-employment checks are done.
  • Check applicant references, make job offers and initiate needed paperwork.
  • Update the company organogram on a monthly basis.
  • Conduct staff inductions and prepare materials.

Skills Development:

  • Administer the Performance Management System.
  • Undertake the role of Secondary Skills Development Facilitator.
  • Assist with the annual WSP/ATR for the relevant TETA.
  • Maintain accurate training records for the organisation including proof of payments and registrations.
  • Maintain the training matrix and training plans.
  • Build strong relationships with relevant training agencies and TETA.
  • Monitor Learnerships and Internships in the organisation to ensure compliance and that KPIS are being met.
  • Assist in planning annual sales and management training conferences.

Other Functions:

  • Co-ordinate social events for staff wellbeing with the assistance of the HR Manager and Marketing Manager.
  • Co-ordinate charity events with assistance if the Marketing Manager.
  • Any other duties/tasks relevant to the position as delegated by the HR Manager or Managing Director.
