Group Bookings Travel Consultant.

MINIMUM REQUIREMENTS:

  • Matric Certificate
  • Tertiary Qualification in Hospitality and tourism not essential, but preferred.
  • Minimum of 2 years’ experience in the same or similar position
  • Level 2 minimum Microsoft Office (Word, Excel, PowerPoint and Outlook in particular)

 

DUTIES & RESPONSIBILITIESS:

Product Knowledge

  • Property Knowledge
    • Ensure property knowledge is distributed in organization
      • Property details obtained from Management – property, marketing, sales, directors
      • Ensure details updated/loaded on PMS
      • Communicated to relevant personnel
  • Policies and Procedures
    • Ensure superior knowledge of all policies and procedures as below (but not limited to)
      • Child/Sharing policies
      • General reservation and booking terms & conditions – per product
      • Refund policy and procedure
      • Commission terms & conditions
      • Special offer terms
      • Sub Brands
      • Details/terms of sub-brands within the Village & Life portfolio
      • Superior product knowledge is vital
      • Product knowledge is a responsibility not a function

 

Management of Property Management System (PMS) - Opera

  • Authorization of all staff on PMS
  • Management and loading of rates accurately and with detail on PMS
  • Management and loading of all properties on PMS accurately and with relevant details
  • Assistance with all PMS details and accuracy

 

Management of specials and promotions :

  • Special offer details (referred from Sales Director/Executives)
    • communicated accurately to reservations staff
    • manual record kept of all offers
  • Accuracy and professionalism is vital
  • Due to the sensitivity and confidentiality of negotiated rates, these need to be loaded with precision

Special Requests – Accommodation

  • Managing the leisure club data base
  • Ensure the bookings for peak are followed up on and continuously monitored
  • Management of all complimentary (educational, prize, voucher, staff) stays as per V&L guidelines and ensuring no opportunity costs
  • Communication of upcoming educational stays to sales team and property management
  • Allocation of all prizes and voucher numbers
  • Management and assistance with all “directors friends” reservations
  • Management and record keeping of all accommodation trade exchanges
  • Management and record keeping of all accommodation barter agreements

 

Reservations Management

  • Supervision of all Central Reservations staff, ensuring reservations are confirmed speedily, efficiently, correctly and in a friendly professional manner, ensuring all requests are met - ensuring maximum occupancy and sales.
    • Entering all relevant information of reservation on PMS with relevant and correct information
    • Communication of all provisional reservations made with correct details
    • Follow up and confirmation of all bookings ensuring payment, avoiding cancellations and no-shows
    • Utilizing special remarks option, ensuring guests needs and all requests are met and communicated to front office
    • To ensure VIP’s are identified and their presence communicated to all relevant departments (sales & front office)
  • Assisting in developing and implementing reservations procedures and practices within the Village & Life group

Customer Relations

  • Maintain a high standard of customer service and excellent communication skills
  • Adopting a “can do” attitude with regards to customer enquiries
  • Assist in investigating and resolving customer complaints

General Staff Management

  • Schedule staff hours and assign duties to reservations staff
  • Establish standards for personnel performance and customer service
  • Recruitment of staff within agreed manplan
  • Training of staff
  • Prepare salaries/wages
  • Maintain uniform/dress code standards
  • Conduct performance appraisals
  • Administer monthly tests
  • Progressive discipline where applicable
  • Maintain staff files
