Graduate Sales Administrator - Asset Finance

POSITION INFO:

Main Purpose of The Job

The Sales Administrator’s role is to provide support to the Sales and Sales Administration team, and to load and process credit applications and deal payouts in line with the determined Service Level Agreements (SLA’s).

Key Areas of Responsibility:

Capturing and Loading of Applications

• Create client details on the system adhering to the Data Quality Standards.
• Receives the applications from sales and suppliers, through emails, facsimile or hand delivered.
• Perform controls to ensure that the documentation is correct and relates to the same client.
• Load the new application transactions onto the system and track the application.
• Request bank code report within 24 hours on approved deals and follow up on the critical bank codes.
• If application is deferred or declined:
  • When required refer queries on applications to Sales Administration
  • Manager/Regional Manager/Account Executive to ensure that issues can be
  • addressed promptly.
  • Identity and appeal applications using the QC/High Risk and Strategic
  • appeal process.
  • Ensures that QC deals/high risk deals/strategic deals are prepared, printed
  • and submitted on time and followed up.

Capturing Deal or Payout

• Update CIS client details in LeaseWave and ensure that there is an approved account.
• Perform quality control function on signed contract and all supporting documents.
• Check approval conditions are complied with and the supplier is approved.
• Follow up on all outstanding documents and action any issues raised.
• Track the progress of the payout and escalate critical issues. Action sign offs and legal queries.
• Confirm installation of goods and contract details with the client, adhering to the prescribed installation and contract details questionnaire and procedures.
• In the event where there are still issues that require to be followed up with sales and/or the supplier:
• Liaise with Account Executive, supplier and client where relevant.
• E-mail the confirmation of payment to suppliers the next working day after payout.
• Consistent follow up of problem list items

General Administration Activities

• Attends to all requests or queries received from suppliers and clients and channel to the correct departments to ensure that all issues are addressed without delay, this includes termination notices.
• Follow up diligently to ensure that issues are resolved to client satisfaction and keep all internal or external parties informed on the progress.
• Assist with the requests of special quotes where factors are not on that supplier’s standard rate sheet and ensure that all the right parties are involved.

Reporting and Team Support

• Assist the sales team as and when required particularly during peak month end periods.
• Communicate issues and errors made to other departments through the Risk
• Report to streamline processes across business areas.
• Prepare hard packs for the QC meetings and ensures that the documentation is complete and correct.

Skills/Personal Attributes Required

• BCom degree
• Excellent administrative skills and ability to work in a result orientated environment
• Advanced MS Office skills
• Knowledge of the Equipment Rental Finance industry with regards to legislative procedures
• Strong client service ethic
• Ability to communicate on all levels and negotiate as and when required
• Problem solving skills
• Knowledge of financial calculations an advantage
• Sales support experience preferably within the Equipment Finance Industry (administrative and operational)
• The ability to work in a highly pressurised, results-orientated environment
• High attention to detail
