Financial Planner Assistant Administrator to join itsPort Elizabeth team. This critical role serves as the operational backbone of the financial planning department, ensuring seamless client service and administrative excellence.
The Role
As the Financial Planner Assistant Administrator, you will be the vital link between clients, financial planners, and various financial institutions. This dynamic position combines client-facing responsibilities with essential back-office administration, requiring someone who thrives in a fast-paced environment while maintaining exceptional accuracy and professionalism.
Key Responsibilities:Client Service & Coordination:- Serve as the first point of contact for clients via phone, email, and in-person
- Schedule client meetings and manage financial planner diaries efficiently
- Prepare client documentation, correspondence, and comprehensive meeting packs
- Assist with client onboarding and process client instructions accurately
- Provide reception support and handle overflow tasks as needed
Administrative & Processing:- Liaise daily with LISP and investment companies
- Update and maintain client portfolios via X-Plan software
- Prepare and process applications, forms, and supporting documentation
- Track applications and follow up diligently on outstanding items
- Support advisers with the implementation of financial advice
- Type meeting minutes and confirmation letters
Compliance & Record Management:- Ensure client files are complete, accurate, and compliant with FAIS, FICA, KYC, and Client Due Diligence requirements
- Maintain meticulous filing systems for regulatory documentation
- Update compliance registers regularly
- Assist with audits, annual reviews, and compliance checks
- Liaise professionally with product providers, platforms, and insurers
Continuous Improvement:- Support enhancement of administrative processes and systems
- Maintain an organised office environment for optimal efficiency
Essential Requirements:
- 3-5 years minimum experience in the financial planning industry with a wealth management company
- Strong knowledge and understanding of LISP and Investment Companies (as opposed to Life Assurance Companies)
- Proficiency in X-Plan software
- Sound knowledge of FAIS and FICA regulatory requirements
- Fully bilingual (English and Afrikaans)
- High school diploma or equivalent
Technical Skills:- Proficient in the Microsoft Office suite and experience with CRM systems
- Strong understanding of compliance requirements in financial services
- Excellent phone etiquette and communication skills (written and verbal)
- Exceptional time management and organisational abilities
- Ability to meet deadlines consistently
- High attention to detail and accuracy
