JOB DESCRIPTION:

Main purpose of the job:

  • Responsible for compiling creditors' payments and submitting them to WHC for payment

Location:

  • Jose Person TB Hospital - Port Elizabeth - Gqeberha

Key performance areas:

  • Ensure that invoice/order complies with WHC SOPs to ensure account processing meets the strict reporting requirements
  • Compile a creditors reconciliation on invoices received
  • Compile purchase orders via the P2P system and payment requisitions for the invoices received
  • Compile all payments via the EPMV system
  • Update details on audit trail and creditors reconciliation and file the documents
  • Authorize E-Wallet payment, resolve queries, manage reversals and recons
  • Asset Verification
  • Ensure adherence to the financial requirements by preparing the required files
  • Assist with driver’s schedules when required
  • Assist with Booking of Venues for meetings and set-up of equipment
  • Assist with the coordination of meetings and training
  • Assist with Ad hoc administrative duties as assigned by management
  • Reconcile and complete monthly debit card recons
  • Manage all cash floats both petty cash, patient transport, weekly cash counts, and monthly reconciliations
  • Manage the office and medical procurements and a liaison to suppliers
  • Manage all the reception and administration processes
  • Oversee the repairs and maintenance of the clinical research unit
  • Manage and oversee the participant reimbursement procedures and weekly/monthly recons as per company SOPs
  • Book, coordinate and confirm travel arrangements (flights, accommodation, and transport)
  • Process travel expense claims and re-claims of employees

Required minimum education and training:

  • Grade 12 with Accounting as subject

Required minimum work experience:

  • 3 years experience as a Finance Administrator and/or Bookkeeper
  • Competent in the use of Microsoft office packages (Word, Excel, and Outlook)

Desirable additional education, work experience, and personal abilities:

  • Work experience in a donor-funded organization
