Great, so who would be a good fit?

An organizational specialist who is an expert in ensuring the CEO’s life, communication, contacts, tasks and diary are managed in a highly efficient manner. Someone with Interpersonal skills is a must as well as great writing and communication skills. Responsible for providing unwavering support whilst maintaining a positive attitude. Ensuring a high level of attention to detail and accuracy is applied relating to all tasks received, whilst always maintaining confidentiality.

 

You may be wondering, what would such a fantastic individual’s duties include?

  • Providing professional and confidential administrative support.
  • E-mail and Diary management for CEO and General Office Administration.
  • Providing support to the CEO by managing e-mails , setting up of meetings and coordinating all the resources associated with same.
  • Maintaining and setting up new templates relating to forms and other documentation regularly used.
  • Providing logistical support to the CEO in the execution of his duties.
  • Organization and booking of seminars and conferences for CEO and staff including: bookings, expense requisitions, obtaining authorization, follow up, sending to relevant stakeholders.
  • Organizing business and private travel arrangements.
  • Communicating verbally and electronically with internal and external clients.
  • Liaising with courier services for both local and international deliveries as well as internal driver/messenger on deliveries.
  • Dealing with businesses or Client queries and enquiries.
  • General Administration and any ad hoc duties/projects that will be assigned from time to time.
  • Event planning and management.
  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Creation of documents, letters, mails and PowerPoint presentations for the Group CEO.
  • Reminding the manager/executive of important tasks and deadlines.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Managing contacts, databases and filing systems.
  • Minute taking during meetings.
  • Prepare all documents and materials necessary for all committee and Board of Directors / Exco meetings (dates/attendee list/logistics/catering).
  • Data capturing.

  • A Degree or Diploma in Business Management, Secretarial or similar field.
  • 3-4 years’ executive secretarial and/or administrative support experience.
  • Highly computer literate with experience in Microsoft Office Suite (non-negotiable).
  • Own reliable vehicle and a valid driver’s license.
  • The ability to work longer hours and thrive within a fast-paced, demanding environment.
  • Someone who is driven to succeed, who is looking for exposure to grow as a personal assistant or to become an executive.
