POSITION INFO:

Executive PA

A vacancy exists in the Pietermaritzburg office of a national firm of Chartered Accountants and Registered Auditors for an experienced Executive PA to commence duties as soon as possible.

Main Responsibilities

Typing of minutes of various internal meetings
Answer phone calls and direct calls to appropriate parties or take messages.
Client relationship management with new and existing clients - Greet clients/ visitors and determine whether they should be given access to specific individuals.
Plan and co-ordinate CEO’s diary to cater for internal entertainment, lunches, teas, etc.
Read and analyse incoming memos, submissions and reports to determine their significance and plan their distribution.
Perform general office duties (such as ordering supplies and maintaining records management database systems).
File and retrieve corporate documents, records and reports.
Open, sort and distribute incoming correspondence, including faxes and email.
Facilitation of meetings and travel arrangements
Management of CEO’s diary
Follow up on action items from meetings
Excellent office administration skills

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 am to 4.30 pm and alternate Saturdays from 9.00 am to 12.00 pm

Minimum Qualifications, Skills and Experience

Professional qualification as an Executive Assistant

Five years of administrative experience
Professional mature experienced individual
