Executive PA (International Trade) Waterfront Cape Town

This is an exciting opportunity for a high energy Executive PA looking to further build a career in the hugely competitive International Trade business environment.

Our client has been in the trade and supply chain business for more than 30 years and are embarking on a rapid growth campaign to meet the needs of the significant growth in client business requirements. We are keen to hear from experienced PA professionals within the International Trade field who are positive can-do people with excellent and precise administration skills. The role calls for high level English language skills as well as French as a second or first language. This position may lead to opportunities for overseas relocation as the company fulfils its growth strategy.

Key Responsibilities

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our client’s senior-level managers.

To succeed in this role, you should be well-organised, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of the business by providing personalised and timely support to executive members.  

Responsibilities

  • Act as the point of contact among executives, employees, clients and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system

Requirements

  • 8+ years’ work experience as an Executive Assistant, Personal Assistant or similar role
  • English / French First Language 
  • Excellent MS Office knowledge
  • Outstanding organizational and time management skills
  • Familiarity with unique office gadgets and applications
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Post-secondary education degree or diploma

This role will initially be located in South Africa, with the intention to relocate overseas as the company fulfils its growth strategy.
