SUMMARY:
The Executive Assistant is required to support the Financial Director (FD), the role involves managing the FD’s schedule, communications, and administrative tasks to ensure smooth financial operations.

Key Tasks:
1. Managing the FD’s Schedule and Communications
- Maintain and organise the FD’s calendar, scheduling appointments, meetings.
- Ensure the FD is well-prepared for meetings by compiling agendas, financial reports, and key documents.
- Act as a gatekeeper, screening calls, emails, and requests to prioritise urgent matters.
- Liaise with internal departments and external stakeholders, ensuring clear and efficient communication.
2. Prioritising Emails, Phone Calls, and Meeting Coordination
- Monitor and respond to emails on behalf of the FD when necessary, ensuring timely follow-ups.
- Handle confidential and time-sensitive correspondence professionally.
- Arrange and coordinate high-level meetings, including board meetings and financial briefings.
- Take minutes during key financial meetings and track action items.
3. Providing Administrative and Accounting Support
- Assist with the preparation of financial reports, budgets, and compliance documents.
- Handle invoice processing, expense tracking, and reconciliation of financial statements.
- Maintain and organise confidential financial records and documentation.
- Support in preparing presentations, reports, and data analysis for strategic decision-making.
4. Supporting Financial Compliance and Reporting
- Ensure all financial documents, contracts, and reports adhere to regulatory requirements.
- Assist in coordinating internal and external audits by gathering necessary financial documentation.
- Collaborate with the finance team to track key financial deadlines and compliance submissions.
5. Liaising with Internal and External Stakeholders
- Serve as the primary point of contact between the FD and executives, board members, and regulatory authorities.
- Coordinate with vendors, legal teams, and external partners for financial agreements and compliance matters.
- Represent the FD professionally in meetings and discussions when required.
