SUMMARY:
We are recruiting an Executive Assistant / Executive Assistant to Management for a well-established Company in Rustenburg

JOB DESCRIPTION:

Purpose of the job
The purpose of this job is to provide secretarial and administrative support to the EXCO team and ensure the professional and efficient running of the EXCO office

Key Performance Areas: 
Operational/Technical
  • Act as the point of contact between the executives and internal or external stakeholders
  • Managing Executives’ diaries
  • Organise and handle all logistical arrangements for meetings and workshops, such as booking meeting rooms, food, and beverages, communication with external venues
  • Record meeting discussions and provide minutes.
  • Handle electronic and other correspondence, analyse and determine significance, and routing to appropriate personnel in a timely and efficient manner.
  • Manage and maintain executive calendar, scheduling travel arrangements, and detailed travel itineraries.
  • Collect and analyse information, and prepare reports and presentations.
  • Maintain all administrative processes, including document management, concise record keeping, archiving, and tracking.
  • Maintain inventory and office supplies. Anticipate needs, evaluate new office products, place them, and often expedite orders when necessary.
  • Prepare board reports for submission, which includes collecting, correcting, collating, and distribution.
  • Administration of the Business Development Pipeline Management system
  • Organise and facilitate corporate events and ensure correct application of the brand for positioning.
  • Assist with the development and distribution of marketing and branding material of the company
 People
  • Serve as the first point of contact, and represent the “look and feel” of the Executive team
  • Communicate in a professional manner.
  • Actively interface with the Group Executive team members as well as internal and external colleagues to achieve team performance targets and outputs.
  • Act with empathy and respect in controlling the engagement channel between employees and the Executive team
 Innovation and growth
  • Provide ideas to improve current administrative systems.
  • Actively participate in sessions with both EXCO and other administrative and managerial positions to find ways to improve the work of the team/department.
  • Contribute ideas on how to improve work practice and procedures
 Qualifications required:
Essential:
  • Matric with a secretarial qualification/accredited PA
  • Valid driver’s license
 Advantageous:
  • Diploma in Office administration
Minimum Experience:
Essential:
Minimum 5 years experience in a similar role (Serving senior managers)
