POSITION INFO:

Our luxury hotel in Camps Bay is seeking the best Events Manager to join their bespoke team. Quality and style are EVERYTHING!!

You would be responsible for driving sales/bookings and the development of the banqueting and events products, lead the Events Team in delivering their commercial and operational objectives.

Minimum Requirements:

  • Matric Certificate with a minimum 2-year diploma in Banquet / Event Managing
  • Food & Beverage Certificate/ Hotel School diploma is advantageous Tertiary Qualification in Hospitality and tourism not essential, but preferred.
  • Minimum of 2 years’ experience in the same or similar position
  • Wedding co-ordinating experience non-negotiable
  • Familiar with all duties and procedures in Conferencing and Reservations departments
  • Opera experience will be beneficial
  • Strong Microsoft Office experience (Word, Excel, PowerPoint and Outlook in particular)

 

DUTIES & RESPONSIBILITIES

Sales and Marketing

  • Product development, sales and operational delivery of the event concept
  • Preparation of budgets, business plans and sales targets
  • Drive sales through launching of new product packages, opening key accounts and cross selling to maximize market share for the group
  • Monitor and increase sales of all facilities
  • Have full and sufficient product knowledge of all available products.

 

Coordination

  • The events department is responsible for the coordination of
    • All event venue bookings including The Rotunda, Boardroom, Conference Room, Tides, Sandy-B
    • Handling all bookings for The Bay Hotel special events, including (but not limited) to Valentines, Mother’s Day, Father’s Day, Christmas, New Year’s Eve
  • The events department is to assist with coordination and operations of events at the following properties
    • Camps Bay Retreat
    • Harbour House Hotel
    • The Farmhouse Hotel
    • Pezula Nature Hotel & Spa

 

Operations

  • Contract and manage the relationships with key external suppliers
  • Develop close working relationships with key functions and internal suppliers within the group
  • Develop and manage relationships with PCO’s and key multi-national clients
  • Research and keep up-to-date with all banqueting equipment, methods and techniques
  • Prepare all reports as required by the company
  • Operational and par levels stock control
  • Ensure proper stock control is managed
  • Monitor compliance with health and fire regulations regarding food preparation and serving, and building maintenance in all banqueting facilities
  • Keep up-to-date with latest trends and implementation
  • Management and operation of all details of events to clients satisfaction
  • Conduct Senior Management Shifts (SMS) as part of The Bay Hotel HOD team
  • Perform operational shifts within the F&B outlets during high occupancy times within the hotel (according to operational requirements)
  • Manage and ensure maintenance of operating equipment for the department
  • Prepare reports as required by the company

 

Guest relations

  • Adopting a “can do” attitude with regards to guest enquiries and ensuring this is implemented throughout the department
  • Ensuring guest satisfaction at all times
  • Investigate and resolve complaints
  • Make sure all queries and communications are handled in a timely manner

Financial

  • Ensure costs are kept to a minimum (whilst providing a satisfactory product)
  • Food costs of menus
  • Ensure staff costs are accurate
  • Review financial transactions to ensure that expenditures are authorised and budgeted
  • Ensure all accounts charged and followed up accordingly

Staff Management

  • Staff management regarding the schedule of staff hours and assign duties
  • Staff training
  • Sourcing staff when necessary and in accordance to ManPlan
  • Maintain and enforce uniform standards
  • Conduct performance appraisals with all staff
  • Conduct regular inter-departmental and departmental meetings
  • Ensure cross-service is executed to highest level of standard

Management of specials and promotions

  • Special offer details (referred from Sales Director/Executives)
    • communicated accurately to reservations staff
    • manual record kept of all offers
  • Accuracy and professionalism is vital
  • Due to the sensitivity and confidentiality of negotiated rates, these need to be loaded with precision
