SUMMARY:
Our client a leading documents storage records & Information management company is looking to employ a Conversion Supervisor to join their team in Cape Town.

POSITION INFO:
Purpose of the role: 

  • To ensure that all documents are scanned in line with defined job parameters to meet production targets.

Key Responsibilities: 


Process Management
  • Escalates client queries to the Customer Services Consultants for resolution.
  • Allocates jobs/workload to achieve maximum productivity.
  • Continuously trains and coaches Data Capturers
  • Ensures the capturing of documents/information onto the system in line with record classification and retention guidelines specific to each job.
  • Ensures that all process requirements are adhered to, i.e. in terms labelling, batching, and input forms.
  • Allocates jobs/workload to achieve maximum productivity.
  • Supervises all data capturing activities to meet scheduled production requirements.
  • Continuously trains and coaches Data Capturing staff.
  • Ensures good housekeeping of the Processing Department area at all times.
People Management:
  • Ensures that staff is trained, skilled and that their expertise is optimally applied.
  • Ensures that the working environment contributes to improve staff morale and increase productivity.
  • Supervisory Responsibilities:
  • Has overall responsibility for a staff complement of 2-40
  • Update and complete statistics daily.
  • Must be able to prioritize work accordingly and ensure work is  completed within their SLA. 

Job Requirements:  
  • Grade 12.
  • Undergraduate qualification is business administration will be highly advantageous
  • Minimum 2 years’ experience in production environment (Document Management environment).
  • Must have technical IT background..
  •  Application Support experience (troubleshooting & end user assistance).
  • Microsoft Office experience (mainly Word and Excel).
  • Must be available to work overtime as and when required.
  • Must have excellent communication and interpersonal skills.
  • Must be a team player
  • Must have business acumen and be able to communicate with senior to top management levels
  • Demonstrate excellent organisational skills
  • Must be able to supervise and coach teams
  • Must have own vehicle and valid driver’s licence
