DISTRIBUTION MANAGER

POSITION INFO:

A COMP IN DEVLAND IS LOOKING FOR A DISTRIBUTION MANAGER

To ensure that the most cost effective and efficient warehousing and distribution of
our products to customers to ensure that their needs are met.
KEY COMPETENCIES
Identifies trends in the performance of the distribution department and
troubleshoots accordingly, by:
ï‚· Analysing departure analysis reports to ensure deadlines are met as per
budgeted targets and addressing areas of concern where targets have not
been met.
ï‚· Analysing KPI reports relating to departure times, arrivals and other variable
costs within distribution and addressing discrepancies as required.
ï‚· Analysing daily fuel consumption reports for fleet vehicles and addressing
consumption issues as required.
ï‚· Analysing exception reports on a weekly basis to ensure fleet drivers and
vehicles are performing to standard with regards to speeding, hard breaking,
excessive idling and excessive RPM.
ï‚· Analysing the distribution process as a whole on an ongoing basis and
identifying continuous improvement possibilities to address customer and
operational needs.
Manages and ensures the maintenance of fleet vehicles, by:
ï‚· Ensuring that vehicle as well as refrigeration maintenance is completed as
per the maintenance schedule and troubleshooting around unplanned
downtime.
ï‚· Administering the upgrade or replacement of fleet vehicles according to
vehicle utilisation requirements and redundancy.
ï‚· Analysing daily vehicle inspection reports and completing additional spot
checks of fleet vehicles to ensure faults and/or repairs are addressed

timeously with consideration to operational requirements and the
branding/image of the company.
ï‚· Investigating causes behind ‘short life’ on tyres and addressing the causes
with relevant parties as required with a resolve to maximise tyre lifespan
wherever possible.
ï‚· Registering vehicle accident claims with the relevant insurance agency and
ensuring repairs are completed in line with operational requirements and
policy stipulations (if possible, within three days of the accident).
ï‚· Recording all accident reports into the accident report register.
Organises resources and leads the Distribution Team, by:
ï‚· Managing resource allocation (Human resources and vehicles) and
communicating to affected parties as required (direct).
ï‚· Assigning tasks and projects to team members and reviewing progress as
appropriate.
ï‚· Assisting team members with daily planning.
ï‚· Utilising driver debriefing feedback to address concerns in the trade and or
discrepancies brought forward.
ï‚· Taking part in union negotiations and team member consultations.
ï‚· Assisting in the training of team members when it comes to new company
processes or policies.
ï‚· Participating in knowledge-sharing and problem solving one on one sessions
with team members as required.
ï‚· Identifying training opportunities for team members as well as suitable training
providers to meet training needs.
ï‚· Ensuring that training records and invoicing is submitted timeously to the QA
Manager.
ï‚· Listening effectively and encouraging the open expression of ideas and
opinions within the Distribution Team.
ï‚· Motivating and encouraging employees to continuously improve processes
within the Distribution Team.
ï‚· Encouraging team member wellness and facilitating visits to the wellness
clinic as required.
ï‚· Conducting incident reviews and take action on behavioral issues in line with
the company culture and policies.
ï‚· Satisfactorily resolving conflict within the Distribution Team as required.

Ensures budget requirements of the Distribution Department are met,
by:
ï‚· Setting an annual budget for the Distribution Department and seeking
required approvals.
ï‚· Planning of resources and distribution according to allocated budget.
ï‚· Taking part in monthly budget meetings to analyse discrepancies (costs
across the department) and providing Directors with feedback.
ï‚· Troubleshooting where anticipated costs and real costs are misaligned and
ensuring the ongoing management of costs vs reality.
Manages the Technical Maintenance of Juice Dispensers, by:
ï‚· Managing monthly expenses around asset maintenance and ensuring budget
to maintenance alignment.
ï‚· Investigating maintenance issues that have arisen unexpectedly and
troubleshooting as required.
ï‚· Analysing the asset register to ensure dispensers are adequately distributed
in the trade and tracked to ensure maximum exposure.
ï‚· Liaising with the workshop manager to ensure machines are uplifted if
required.

Ensures general inventory control, by:
ï‚· Capturing and analysing final cycle count reports to ensure there are no
discrepancies (overs and under’s).
ï‚· Troubleshooting and liaising with relevant departments to ensure
discrepancies are addressed.
ï‚· Ensuring that monthly stock takes are done correctly as well as annual stock
takes (end of year for audit requirement).
ï‚· Authorising credit to customers where errors or product defects occur after
investigating the origin of credit codes and liaising with affected departments
for verification.

Ensures inventory control for the Factory Shop, by:
ï‚· Capturing and analysing final cycle count reports to ensure there

INPUTS
ï‚· Reporting and feedback from Team Leaders within the department
ï‚· Daily, weekly and monthly reports
ï‚· Team Leader (MD)
ï‚· Customer’s (Complaints, compliments or calls)
CONSEQUENCES
ï‚· Interruptions or inefficiencies to the distribution cycle which would jeopardise
quality, production effectiveness, product delivery and cash flow (vehicle
breakdowns, route inefficiencies etc).
ï‚· Unhappy customers who do not receive orders on time or at all.
ï‚· Shrinkage concerns where inventory control is not running efficiently.
ï‚· Insurance claims are not submitted timeously and claims are rejected.
ï‚· Distribution Team is not developed
