POSITION INFO:

Position: Customer Service Administrator – Must have NAV ERP Experience

Salary: R30-R40K CTC

Commission

Purpose of Function

  • To provide administrative assistance to the Customer Services Department
  • The Sales Support Coordinator will carry out her duties with the diligence of a prudent businessman following the code of business conduct
  • The Sales Support Coordinator acts as a bridge between the customer and the company
  • The Sales Support Coordinator addresses emergency situations, within her functional area of responsibility and escalates to the Tender and Customer Services Manager in the event that issues between functions cannot be solved
  • Tasks and Responsibilities
  • Assist customers with regards to product queries/quotes
  • Capture all orders onto the system
  • Complete the back-order database and keep it up to date
  • Create warehouse shipment picking slips
  • Print invoices as required
  • Handling of telephone and emails professionally
  • Accurate check and capture sales orders
  • Liaise with creditors department when accounts on hold
  • Print invoices as required
  • Liaise with Creditor’s department when accounts are on hold or credit limits are exceeded
  • Pro-forma and commercial invoices
  • Liaise with the Warehouse with regards to any deliveries
  • Maintain accurate administrative processes, including POD’s
  • Ensure your knowledge of the relevant Acts and Regulations are updated accordingly
  • Communicate with all customers in a professional and friendly manner
  • Receive all customers in a professional and friendly manner
  • Give accurate feedback to sales team and clients
  • Assisting Sales Teams with Quotes when necessary within 24hrs
  • Handling of backorders, and ensure its kept to a minimum

Export Functions

  • Initiate the correct Export documentation for every shipment, i.e. Permits, Certifications, Datasheets, etc.
  • Liaise with appropriate Shipping Agents and Freight Forwarders
  • Track and trace of every shipment and export documentation for return
  • Ensure compliance with the Dangerous Goods regulations
  • Initiating correct VAT requirements where applicable
  • Checklist with necessary information should accompany the PO to Lübeck
  • Stock transfers for demo requests
  • Update and maintain Delivery Date Schedule
  • Print invoices as required
  • Maintain accurate admin processes
  • Handling of back orders and ensure its kept to a minimum
  • Knowledge of relevant Acts and Regulations are updated accordingly

Local

  • Check and accept online order enquiries, daily
  • Action and keep track of product configuration forms

Compliance

  • Ensure compliance with the Principles of Business and Code of Conduct in the Company Group and local laws and regulations
  • Ensure compliance with Occupational Safety and Health laws and other applicable regulations

Communication

  • Support Brand recognition
  • Relationship-Management with Distributors and/or Customers and all employees within the Branch

Regulatory Affairs and Quality

  • Follow the necessary processes and actions to obtain and maintain all relevant certifications, e.g. ISO, in close collaboration with the Head of Order Management
  • Ensure compliance with corporate quality and environmental policies
  • Ensure the effective day to day quality management of processes within your department
  • Ensure compliance with all Company Policies and Procedures

Education

  • Matric
  • Relevant Tertiary qualification/certification advantageous

Related Experience 

  • Minimum 2yrs experience in similar position

Skills, Special Competencies, or Certifications

  • Understanding of SARS VAT implications for Export (VAT Act)
  • Understanding of Customs and Excise regulations
  • Understanding of Dangerous Goods Regulations and Requirements
  • Efficient in:
