Conveyancing Secretary with Companies Intellectual Property Commission (CIPC) experience
POSITION INFO:
Our Client is currently looking for a Conveyancing Secretary with CIPC experience
Working Hours: Mon – Fri 08h30 to 17h30
Extended hours from time to time
Purpose of the Position:
• To oversee the efficient administration and compliance of the company is maintained and managed
accordingly.
• CIPC skills is a key requisite for this role

COMPANY SECRETARY
• Opening, full implementation, manage the administration and closing of companies and trusts within
the Group as instructed and within the requisite time frame, including, but not limited to, preparing
documents, obtaining signature thereof and lodging with CIPC the following types of documents:
• New company registration;
• Change of company name;
• Change of registered addresses;
• Appointment / change of directors;
• Change of shareholding;
• Change of financial year end;
• Appoint / resignation of auditors;
• Lodging of annual returns;
• Writing up / updating the company registers;
• Preparing resolutions;
• Preparing and distributing notices for meetings;
• Preparing attendance registers;
• Preparing organograms;
• Preparing board packs; and
• Preparation and submission of FICA documentation.
• Ensure each of the companies within the Group’s compliance with corporate governance and other
related financial and legal regulations;
• Liaise with CIPC, auditors, banks and other corporate entities necessary for the provision of the Services
• Filing and record keeping;
• Record materials removed and take back those not returned
• Remove and trash out-of-date materials
• Assist with data capturing of invoices / requisitions / credit cards, etc.
• Place essential papers and materials in files
• Add or remove data to file records
• Help other office workers
• Type and file information on folders
• Record materials removed and take back those not returned

PARALEGAL
• Organize various types paperwork
• Maintain legal files and other relevant information in digital databases
• Write drafts of contracts, letters, and legal documents where required
• Gather information about cases
• Attend legal consultations and various meetings where requested
• Reference law libraries
• Assist during trials and hearings where required
• Prepare and deliver affidavits
• Perform billing/accounting duties where required
• Booking and arranging travel, transport and accommodation where required
• Case planning, development, and management
• Legal research, fact gathering and information retrieval
• Assist legal team with various tasks from time to time
Academic / Trade Qualifications / Other:
• High school graduate
• Companies and Intellectual Property Commission (CIPC) certification
• Diploma / Degree in either Finance, Business Management, Economics and Law
• Paralegal certification - optional
• Reliable or own vehicle and Driver’s license
Work experience and Skills:
• Proven experience with contactable references
• 2 or more years related experience
• CIPC skills and experience
• Well-versed in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook;
• Excellent oral and written communication skills.
• Good time management
