SUMMARY:
Contracts Administrator (Richards Bay)
POSITION INFO:
An opportunity has arisen for a skilled, energetic individual who will join a dynamic team in the Supply Chain Management section as a Contracts Administrator. The position is required to provide administrative support to the Contracts Management unit and is based in Alton, Richards Bay.
KEY PERFORMANCE AREAS:
• Provide administrative support in respect of the finalization and signing of all Service Level Agreements for contracts resulting from procurement processes.
• Keep up to date records of all compliance documents submitted by bidders in respect of Contracts.
• Provide administrative support in the processing of all expenditure in relation to contracts by:
o Reviewing invoices against contracts
o Collating and maintaining supplier payment records
o Ensuring price adjustments on contracts are in line with the bid
• Assist in attending to supplier queries in relation to contracts
• Follow up with end users regarding the implementation of the procurement plan
• Ensure proper electronic and physical records management such that documents are easily retrievable.
• Collate and provide information based on requests from auditors and other stakeholders
• Schedule meetings, provide administrative support during meetings, prepare minutes & follow up and implement action items.
• Provide all other administrative support to the contracts management unit.
REQUIREMENTS:
• Matric and a National Diploma (NQF Level 6) in Supply Chain Management/Finance related field.
• A minimum of three years’ Administration experience in Contracts, Finance or Supply Chain Management. Experience in a Supply Chain Environment is preferred.
• Must have an understanding of bid processes.
• Valid code B driver’s license.
• PC Literate – Advanced Word, PowerPoint, Outlook and Excel.
• Good organizational skills, planning and time management skills and must be pro-active in handling tasks
• Interpersonal skills and the ability to communicate well at all levels.
• Excellent typing and Report-writing skills and must be able to work under limited supervision.
• Ability to work well under pressure, and the ability to pay attention to detail and establish work priorities.
• A very high level of confidentiality, honesty and integrity is necessary.
