JOB DESCRIPTION:

Job Summary
To provide an efficient organisational and administrative service to the CRM Team, helping them to manage and prioritise their time more productively.

Responsibilities

CRM assistance

  • Provide efficient and effective assistance and support to the Client Relations Manager
  • Manage and maintain the diary for the Client Relations Manager
  • Calling and setting up of appointments with clients
  • Schedule appointments with existing clients and follow-up meetings
  • Compile and prepare costing sheets
  • Follow-up on e-mails and requests from the Client Relations Manager
  • SLA’s: follow-up on renewals and compile new SLA’s with annual increases
  • Ensure all originally signed documents are submitted and filed / uploaded to the reporting platform
  • Assist with confirmation / bookings and payments of events, functions and required training (SACSC, etc.) for the Client Relations Manager
  • Assist with all WastePlan events and functions as required
  • Carry out any other duties which may be required within the overall function of the job
Reports and administrative assistance
  • Compiling and submission of reports, in time for all reporting meetings
  • Compile and maintain the client visit report on a daily basis
  • Compile and maintain the client services ratings report on a monthly basis
  • Sending client services rating follow-up e-mails
General assistance
  • Providing any support to the sales and client relations team as required
  • Prepare agendas, attendance registers and minutes for sales / CRM meetings as required
  • Ensure all action points on meeting minutes are actioned on time and appropriate feedback is given to relevant parties
  • Order promotional material (folders, envelopes, pamphlets, brochures, business cards, etc.) as required in conjunction with the PR department
  • Ensure all promotional material and equipment (banners, gazebo’s, etc.) are stored neatly in the storeroom and cleaned before and after use for events and functions
  • Accurate filing and record keeping of all documents and records as well as general assistance with binding, scanning, copies, etc.
  • Identifying system improvements and innovations that may result in more efficient and effective work processes
  • Assisting in the implementation of systems and controls, to ensure policies, procedures and related laws / acts are complied with
Requirements
  • Minimum Matric, a relevant Diploma or Degree will be advantageous
  • Relevant knowledge and skills
  • High proficiency in Microsoft Office is essential
