Branch Administrator

SUMMARY:
A battery supply company is looking to employ a Branch Administrator with immediate effect. The purpose of the role is to completely manage the finance & administrative functions of the branch.

POSITION INFO:
Key Responsibilities:
Administration

• GRN & GRV stock for branch daily
• Debtors- assist with payment allocations, debtor recons & queries
• Creditors- recon of branch accounts and sending to regional branch
• Invoices – ensuring invoices agree to GRV’s and PO’s
• Cash ups – ensuring cash-ups for POS are done correctly
• Reviewing and authorizing credit notes (both stock & warranties) and processing
• All high value purchases to clear with Financial Manager
• Ensuring documents are sent to Head Office on a weekly basis
• Separation of documentation and clear marking of who should receive the documents
• Answering of phones and reception of customers/guests.
• Maintain asset register for the branch
• Manage stationery (inventory, ordering etc.)
• Processing and capturing IBT’s (Inter Branch Transfers)
• Good Communication with relevant departments
• Manage & keep delivery notebooks and warrantee claims up to date (ensuring all delivery notes are invoiced out and warrantees processed by the end of each week)
• Ensure scrap proceeds are collected
• Manage scrap & warranty invoicing
• Ensure daily collection of delivery books and warrantees
• Daily processing of invoices, credit notes and warrantees
• Expense claims (ensure it is sent in timeously to HO for refunds)
• Attendance register – to be completed and sent to HR
• Capture POD’s on ERP system and ensure originals are sent to HO weekly
• Driving and running general errands.
• Daily POS banking
• Assist Branch Manager with any administrative matters
• Adhoc admin duties & filing

• Weekly and monthly stock counts
• Inspecting and ensuring that all goods invoices are signed by the individual responsible for receiving stock. (IBT’s included)
• Any item showing stock but not physically in the dedicated area must be reported to Management
• Ensure all receivables are checked prior to binning. All goods to be placed in the agreed dedicated areas in order to avoid issues when drawing/counting stock
• Supervising any casual labourers that are assisting on a temp basis.
• Monitoring incoming and outgoing stock
• All paperwork and recon on card payments

• Matric and relevant tertiary qualification
• Excellent administrative experience
• Valid South African driver’s license
• Must be able to interpret documents such as operating and maintenance instructions, safety rules, and procedure manuals
• Attention to detail
• Good communication skills (Written & verbal)
• Ability to plan and organize
