SUMMARY:
Opportunity for an experienced Billing/Shipping Controller with strong logistics billing, reconciliation and international freight forwarding experience across sea and air freight.
POSITION INFO:
Our client is seeking an experienced Billing/Shipping Controller to manage logistics billing and settlement activities while supporting international sea and air freight operations. This role requires practical experience across both the financial and operational sides of logistics, with responsibility for accurate billing, reconciliation, shipment coordination and supporting documentation.
NB: This is a 12 month fixed term contract
Responsibilities
- Process and reconcile Accounts Receivable and Accounts Payable transactions relating to logistics activities.
- Verify customer and supplier billing against agreed rates, shipment records, operational information and supporting documentation.
- Reconcile freight, transport, handling and other shipment-related costs and maintain accurate job costing information.
- Process settlement transactions and investigate billing discrepancies, variances and related queries.
- Resolve customer, supplier and logistics service provider billing matters, including credit notes, debit notes and claims where applicable.
- Support accruals, month-end reconciliations and operational and financial reporting.
- Process transactions in SAP and maintain complete, accurate billing, shipment and supporting-document records.
- Coordinate international import and export shipments by sea and air from booking and origin through to final delivery.
- Liaise with overseas agents, shipping lines, airlines, transporters, customs brokers, service providers and customers throughout the shipment lifecycle.
- Obtain freight rates and quotations, track shipment progress and address operational issues, discrepancies and delays.
- Coordinate customs clearance, transport and final delivery requirements for imports.
- Arrange export bookings, cargo collection and handover, and prepare or verify the required shipping documentation.
- Prepare, obtain and verify Bills of Lading, Air Waybills, commercial invoices, packing lists, certificates of origin, customs documentation and shipping instructions.
- Ensure shipment documentation is accurate, complete and compliant with applicable customs, trade and international shipping requirements.
- Provide accurate and timely updates to customers and resolve shipment, billing and service-related queries.
Requirements
- Relevant practical experience within a logistics, freight forwarding, shipping, 3PL, transport or supply-chain environment.
- Demonstrated experience in both logistics billing/settlement and international freight forwarding/shipping.
- Experience with AR/AP processing and reconciliation, customer invoicing, supplier invoice verification, rate and cost verification, job costing, billing reconciliation and settlement processing.
- Experience investigating discrepancies, resolving billing queries and supporting accruals and month-end processes.
- Practical sea and air freight experience covering imports and exports.
- Experience coordinating international shipments from origin through to final destination.
- Experience working with shipping lines, airlines, overseas agents and customs clearance processes.
- Working knowledge of international shipping documentation and applicable customs and shipping requirements.
- Strong numerical, reconciliation, analytical and problem-solving ability.
- Strong attention to detail and the ability to manage multiple shipments, transactions and deadlines.
- Strong written and verbal communication skills with the ability to liaise effectively with customers, suppliers and logistics service providers.
- SAP, advanced Microsoft Excel, VLOOKUP/XLOOKUP, Pivot Tables, ERP systems and freight forwarding/shipping systems are highly advantageous.
