Bid and Project Manager

POSITION INFO:

The role of the Bid and Project Coordination Manager is a combination of management and coordination of two areas of responsibilities i.e.

• Bid and tender preparation, management and coordination and
• Project management and coordination. As part of a multinational group of companies and multiple projects/bids need to be managed at the same time, the Bid and Project coordination Manager will be expected to be a team-player, have a thorough understanding of matrix management and be able to adapt to changes in the work environment.

Technical Skills and Experience:

• Degree or equivalent in project management
• At least 5 years experience in project management or similar role
• Experience in using a recognised project management methodology
• Experience in project risk management
• Experience in communicating and dealing with customers and end-users
• Experience in contract management with suppliers and service providers
• Experience in using a project management tool such as Microsoft Projects (or similar)
• Experience in multi-national project management and deployment (Advantage

Roles and Responsibilities:

• Determine bid scope, feasibility, and alignment with the organization
• Define project scope and engage with relevant stakeholders and ensure governance
• Draw up documentation for Tenders and Proposals that aligns with the solutions available within the organization.
• Regular reporting on preliminary project costs that will inform proposal initiatives
• Create project plans that will deliver the set objectives within the required time, budget, and quality expectations
• Regularly review project plans to improve efficiencies and reduce time-to-market
• Engage with relevant stakeholders before, during and after each bid and project to determine best practices and possible improvements
• Establish core teams using suitably skilled resources to meet the project objectives
• Apply agile project management strategies within a structured recognised project management framework
• Put in place stakeholder management plans where required
• Continuously identify projects’ risks and put mitigation measures in place where applicable
• Communicate effectively and elevate unmitigated project risks
• Respond to business and customer changes appropriately
• Prepare project and bit status feedback reports in the form of charts, graphs, narratives or other means, whichever is appropriate to the audience
• Lead and/or participate in meetings with relevant stakeholders in order to design, review and track a bid or project’s status
• Manage and resolve conflicts within the project
• Execute with diligence any other task that may be required in order to effectively compete or deliver a bid or project
