Role Purpose
To manage the procurement and purchasing processes for branded merchandise and promotional items, ensuring timely delivery, cost efficiency, and alignment with client specifications
Key Responsibilities
- Procurement & Supplier Management
- Source promotional products from local and international suppliers
- Negotiate pricing, lead times, and delivery terms
- Maintain strong relationships with preferred vendors
- Order Processing & Inventory
- Create and track purchase orders using ERP systems
- Monitor stock levels and replenish inventory based on demand forecasts
- Coordinate with warehouses to ensure accurate stock movement and delivery
- Administrative Support
- Capture invoices and reconcile purchase orders
- Maintain accurate records of discontinued items and supplier communications
- Assist with GRN (Goods Received Notes) and credit note retrieval
- Reporting & Coordination
- Run daily, fortnightly, and monthly stock reports
- Update out-of-stock lines and ensure correct pack sizes
- Liaise with finance and sales teams to resolve queries and support client orders
Skills & Competencies
- Intermediate to advanced Excel proficiency
- Strong organizational and time management skills
- Excellent communication and negotiation abilities
- Familiarity with promotional product cycles and branding logistics
- Attention to detail and ability to multitask under pressure
Qualifications & Experience
- Matric (with Maths & Computer Literacy preferred)
- Diploma or certificate in Procurement, Supply Chain, or Business Administration
- 2+ years’ experience in purchasing or inventory administration, ideally in promotional or retail sectors
- Advanced Excel experience
- Experience with ERP systems and data capturing tools
