SUMMARY:
An urgent temporary contract for someone who is competent and experienced in general secretarial, accounts and administration responsibilities.  Previous working experience in a Technical Sales Department would be ideal.

POSITION INFO:
Requirements:
a) Candidates must have general secretarial, administration and accounts experience.
b) Ideally have experience working in a Technical Sales Department.
c) Ensure that proper recordkeeping of all applicable documentation is maintained b) Maintain an effective filing system for the Chemical Sales Division
d) Perform general  secretarial,  administrative  &  accounting  duties  as  delegated  by  the Employee’s Supervisor
e) Relieve Switchboard  daily  during  lunch  break  (30  minutes)  and  in  the  event  that  the Switchboard Operator is off sick or on leave.

Duties and Responsibilities:

a)  Filing of Tenders & Quotations
b) Control & updating of Chemical Tender Sheet
c) POD control
d) Receipt & printing of Rep’s Travel Log Sheets, sign off by General Manager & submittal to HQ
e) Submittal of Order Requests to HQ Procurement and follow up on PO’s & deliveries
f) Attendance of sales meetings, taking of minutes and distribution of such
g) Answer telephones and take messages where necessary.
h) Copy documents for Sales Team and bind where necessary
i) Assist with courier services
j) Assist with Order Request and follow up on PO’s and GRV’s
k) Assist with completion of Export Customs Documents and control thereof
l) Assist with completion of control register for orders placed
m) Upkeep of Sales Force for sales, local and export
n) Conform to company administrative procedures, i.e. ISO Standards and strive for continual improvement
o) Perform any other duties required by your designated departmental manager.
