SUMMARY:
The Administration Manager will report directly to the General Manager.

POSITION INFO:

Purpose of the Job:

The Administration Manager will report directly to the General Manager. The Administration Manager will be responsible for the key responsibilities as highlighted below.

KEY RESPONSIBILITIES:

• Receive contract adjustments
• Complete new site code request
• Create adhoc invoices
• Submission of adhoc schedule
• Obtain supplier quote before any equipment can be ordered
• Submit CAPEX request for approval to order equipment
• New Cost Centre to be opened from Profit
• Submission of New Cost Centre to load recurring billing
• Submission of new/additional contract Schedules
• Calculation of Credit Notes
• Terminations and Reductions to be submitted to the Finance Department
• Credit Note Request to be completed and approved by Key Accounts Manager/General Manager
• Process monthly contractual invoices
• Create all serviceable PO’s for cleaning, indoor, outdoor
• Processing of Invoices
• Assisting debtors and creditors with any queries related to property care
• Formulate Sub Contractor Quotes, itemised quotes and outright purchase quotes
• To check monthly revenue and send to relevant parties
• Assist with any admin related queries
• Assist General Manager with any admin requirements/spreadsheets for all regions

MINIMUM REQUIREMENTS:

• Matric Certified
• Solid Computer Proficiency: Word, Excel, PowerPoint and Outlook
• 2-3 years of direct Administration experience
• Minimum 2-3 years of experience in property care advantageous
• Driver’s License Code 08 and own reliable vehicle
• Relevant Accounting Qualification will be advantageous
• Must have previous accounting software package Experience e.g. SAP
