Job Description
Greet Guests over the telephone, over email and in person in a friendly and courteous manner. Build professional relationships with renewal and return guests. Handle incoming inquiries regarding accommodation availability, room types, rates, accommodation vouchers, package and spa vouchers and function requests promptly. Process all reservation requests, changes and cancellations received by phone and email. Process booking confirmations immediately after reservations are made. Follow up on provisional bookings. Process refunds and payments. Explain Hotel Policies. Verify and record reservations information accurately on the system. Communicate special requests to relevant departments. Upsell property facilities to Clients. Work with Marketing manager on Photo Shoots. Responsible for online bookings through Nightsbridge. Maximize occupancies. Check weekly arrivals and compile relevant reports. Make Group Bookings. Handle enquiries with regards to functions and events. Coordinate planning and execution of functions and events. Maintain knowledge of special rates, promotions and packages. Communicate any special/VIP bookings to Reception and Rooms Division Manager.
Qualifications
Relevant Hospitality / Reservations Qualification ideal.
Skills
Innkeeper or Opera PMS or similar system knowledge and experience essential. At least 3 years of dedicated Group Reservations experience (FITs and Group Itineraries) in a similar position at 4/5-Star Hotel Group essential. Proficient in Reservations systems (BOH experience in these systems), MS Office, Word and MS Excel. Excellent communication and multitasking skills with the ability to handle high volume of queries and duties professionally and promptly. Excellent command of the English Language (Verbal and Written). High Level Telephone Etiquette. Able to work independently and use initiative. Detail orientated. Positive attitude. Willingness to assist in other areas as required pertaining to rooms where necessary in absence of Rooms Division Manager. Own transport essential.
